General Regulations for Birthday Celebrations at the Real Club de Tenis de San Sebastián
Birthday Reservation:
1.1. Reservation Channels:
* Reservations will be made through official channels: telephone, digital form, email, and in person at the Club’s reception.
1.2. Confirmation and Availability:
* Confirmation is subject to the availability of instructors, facilities, and specific materials.
* It is recommended to book as far in advance as possible, especially during high season (June, July, August).
1.3. Required Information:
* When making the reservation, the following must be provided: birthday child’s name, age, number of guests, desired activity, preferred date and time, and contact information of the responsible person.
Birthday Duration:
2.1. Sports Activity:
* The duration of sports activities will be 90 minutes, unless exceptions are agreed upon with the Club.
2.2. Celebration:
* The reservation of the terrace, wellness room, or other spaces for the subsequent celebration will have a maximum duration until the Club’s closing time (10:00 PM Monday to Friday / 9:00 PM Saturdays, Sundays, and holidays).
2.3. Extension Option:
* It is possible to extend the duration of the celebration, subject to availability and at an additional cost.
Punctuality:
3.1. Early Arrival:
* It is requested to arrive 10 minutes early for the preparation of the activity.
3.2. Delays:
* Delays will not imply an extension of the sports activity. A 15-minute grace period is established; after this time, the Club reserves the right to cancel the activity.
Equipment:
4.1. Provided Equipment:
* The Club provides equipment for sea activities (kayak, SUP, etc.), which includes neoprene, kayak, stand-up paddleboard, big SUP, paddle, and vest.
4.2. Personal Equipment:
* It is recommended to bring appropriate sports equipment.
* Pool: cap, goggles, flip-flops, towel.
* Tennis: racket.
* Padel: racket.
* It is recommended to bring suitable footwear for the sports facilities.
4.3. Rental and Sale:
* The Club offers options for renting, selling, or lending equipment in case the above is not available.
4.4. Responsibility for Personal Equipment:
* The Club is not responsible for the loss or damage of attendees’ personal equipment.
Activity Payment:
5.1. Reservation:
* €50 will be paid as a reservation within 72 hours of the request. Confirmation will be paid via an SMS that links to the payment gateway.
5.2. Remaining Payment:
* The rest of the amount will be paid at the beginning of the activity, after confirming the number of participants.
5.3. Payment Methods:
* Payments with credit/debit card, bank transfer, and cash are accepted.
Cancellation Policy:
6.1. Full Refund:
* Cancellation more than 72 hours in advance: full refund.
6.2. No Refund:
* Cancellation between 72 and 0 hours: no refund.
* No-show: no refund of 100%.
6.3. Exceptional Circumstances:
* The Club reserves the right to assess exceptional situations.
Weather Conditions and External Factors:
7.1. Outdoor Activities:
* Adverse conditions: rescheduling, activity change, or refund of what has already been paid, to be agreed between the person designated by the Real Club de Tenis de San Sebastián and the client.
7.2. Alternative Spaces:
* In case of rain or adverse weather that does not pose any risk to attendees, safe indoor spaces will be used.
7.3. Security:
* Participant safety is paramount. In case of risk, the activity will be canceled, modified, or rescheduled.
Exceptions:
8.1. Special Cases:
* The Club will assess exceptional situations for out-of-time cancellations.
Customer-Club/Club-Customer Notification Method:
9.1. Communication:
* Cancellations and rescheduling: email, WhatsApp, or SMS.
Health and Safety Requirements:
10.1. Physical Fitness:
* The Club may require information about relevant health conditions from the person making the reservation.
10.2. Safety Rules:
* Compliance with the Club’s safety rules is mandatory.
10.3. Civil Liability Insurance:
* The Club has civil liability insurance that covers participants during activities.
Club Internal Regulations:
11.1. Mandatory Compliance:
* All users must comply with the Club’s rules.
11.2. Sanctions:
* Failure to comply with any general Club regulations may result in suspension or cancellation of the activity without any right to a refund.
11.3. Access to Regulations:
* The general regulations are available on the Club’s official channels.
Responsibility and Supervision:
12.1. Minors:
* Minors must be supervised by a responsible adult whenever there is no sports activity monitor.
12.2. Damages and Losses:
* The Club is not responsible for damages or losses of personal items.
12.3. Behavior:
* Respectful behavior towards staff, facilities, and other users is expected.
Snack Room/Terrace:
13.1. Arrangement:
* The Real Club de Tenis de San Sebastián will provide a recreation room or terrace for the celebration of the subsequent snack after the sports activity.
13.2. Included:
* The Club will provide tables for arranging the snack.
13.3. Not Included:
* Anything not provided in point 13.2 is not included.
13.4. Supervision:
* Minors must always be supervised by a responsible adult throughout the duration of the snack.
Additional Services:
14.1. Catering:
* It is possible to hire catering services with customized menu options. This option is not included in the basic package price.
14.2. Decoration:
* There is the option to decorate the celebration space. This option is not included in the budget.
14.3. Entertainment:
* Entertainment services can be hired. This option is not included in the budget.
Data Protection:
15.1. Privacy:
* The Real Club de Tenis de San Sebastián commits to comply with all applicable laws and regulations regarding personal data protection, including, but not limited to, the General Data Protection Regulation (GDPR) and Organic Law 3/2018, of December 5, on Personal Data Protection and guarantee of digital rights.
* Personal information collected during the reservation and birthday celebration process (names, ages, contact information, etc.) will be used exclusively for activity management and communication purposes related to it.
* The Club will implement appropriate technical and organizational measures to guarantee the security and confidentiality of personal data, preventing unauthorized access, alteration, loss, or improper treatment.
* Data subjects will have the right to access, rectify, delete, limit, oppose the treatment, and request the portability of their data, as provided by current regulations.
* The Club will inform users about the privacy policy and the treatment of their personal data, obtaining their consent when necessary.
* Personal data will not be transferred to third parties, except in cases where it is necessary for the provision of the service (e.g., to catering providers) or when there is a legal obligation.
* The Club will keep personal data for the time necessary to fulfill the purpose for which they were collected, and subsequently, for the legally established periods.
* In the event of a security breach affecting personal data, the Club will notify the control authority and the interested parties, as provided by regulations.
* The Club will have a record of personal data processing activities, in compliance with legal obligations.

* Users are encouraged to provide suggestions and comments to improve the service. The Club has communication mailboxes.

* The Club has a complaints book available to users.
